Job Description
Under the supervision of the President of the Company, the Administrative Assistant is responsible for general office management functions, minor bookkeeping duties, and other duties as assigned. In order to be successful, an individual must be able to perform these duties satisfactorily.
The administrative assistant position includes the following job responsibilities and duties.
- Format, type and edit a variety of routine material, including: correspondence, memos, reports, and confidential material.
- Prepares and updates company files, records, and publications; maintains confidential files and materials.
- Schedule, organize and make appointments; notifies attendees and makes necessary arrangements.
- Ordering, receiving and maintaining supplies for office and client locations.
- Arrange and schedule training, conferences, travel, and lodging.
- Assists in the preparation and control of records, reports, personnel changes, etc.
- May serve as liaison with others outside the company regarding administrative issues, related to purchasing, personnel, facilities and operations.
- Receiving, sorting, scanning, organizing and distributing mail, as necessary.
- Review and record vendor invoices in the financial system.
- Prepare and submit customer invoices.
- Prepare and mail documents, letters and other materials.
- Perform other tasks and assignments as assigned by the President.
- Act as company's security officer.

Requirements and Qualifications
- Work requires a highly motivated self-starter with attention to detail, ability to follow instructions, and communicates effectively both verbally and written.
- Pleasant phone manner.
- Highly organized.
- Ability to learn quickly, multi-task and prioritize to meet deadlines.
- Proficient in the use of MS Office suite, specifically, Excel, Word and PowerPoint.
- Minimum of 2 years of progressively responsible experience.
- Must have at least a High School Diploma or G.E.D.
- Our federal clients require security officers to complete a background investigation and credit check, as well as, be able to obtain a security clearance.
